LABORATORY FOR NUCLEAR SCIENCE OVERVIEW:

POSITION OVERVIEW:
Reporting to the Administrator for HR, EHS, and Facilities, the Facilities Coordinator oversees all facilities and safety-related issues for LNS. She/He serves as client representative and liaison for all renovation and improvement projects; oversees safety and security; plans and oversees improvements in systems and acts as liaison to MIT’s Facilities; ensures efficient daily functioning of building systems and non-computer equipment; oversees maintenance and upkeep of all LNS-occupied space. Must be comfortable working with minimal oversight when it comes to day-to-day activities.
PRINCIPAL DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS):
- Develops and implements a process for effective management of LNS spaces including: ensuring access; analysis of utilization; tracking of cleaning, maintenance, and repair issues; allocation of space for short term needs; and long term planning
- Coordinates office moves, installations of and changes to equipment
- Facilitates purchase of equipment and furnishings
- Serves as primary contact for all LNS facilities, disseminating shutdown and other related notices
- Coordinates and oversees work provided by vendors and contractors
- Serves as liaison between LNS and Environmental Health and Safety and between LNS and MIT Security and Emergency Management Office
- May coordinate safety trainings/drills and ensure compliance with MIT policy, federal, state, and local regulations
- Liaison to other MIT departments occupying LNS-occupied buildings
- Work with the Associate Director to make all office/lab space assignments at LNS
- Act as project manager for building renovations/construction: Plan for and submit Institute Space Change Requests; Plan for and contract through MIT Facilities Design and Construction section for renovation of office/laboratory/other space
- Meet with faculty/research groups to discuss needed space changes, complete paperwork for Institute approvals/funding; liaison to MIT Facilities for overseeing all work
- Maintain equipment/property records for LNS and act as liaison to Property Office
- Manage disposal/ reassignment of surplus property/furniture/equipment
- Maintain records of all floor plans of LNS-occupied space including occupancy information
- Responsible for all space data compilation and records and for completing space audits as required by the Institute
- Collaborate with the Administrator for HR, EHS and Facilities ensuring compliance with the Institute’s Environmental Health and Safety (EHS) Management Plan
- Ensure that all relevant staff/students obtain and document appropriate safety training
- Participating in safety inspections of LNS laboratories, working closely with PI’s/lab EHS representatives to ensure that any safety issues are resolved promptly
- Oversee and manage building security as appropriate
- May oversee other technical employees on safety-related issues
- Other special projects and duties as assigned
QUALIFICATIONS/TECHNICAL SKILLS:
Required
- Bachelor’s degree or equivalent work experience
- 5+ years work experience in the area of building systems, facilities, construction and/or project management, preferably in a research/academic setting
- Ability to use computers and a solid foundation in Microsoft Office and database systems
- Experience working with contractors/architects/facilities professionals
- Valid driver’s license and the ability to lift 50 pounds
- Outstanding interpersonal skills and the ability to interact effectively with a large and diverse population, including faculty, research, technical and administrative staff, students, Facilities staff, architects, and contractors
- Ability to manage multiple concurrent projects
- Must have excellent written and verbal communication skills
- Demonstrated ability to work both independently and as a contributing team member
- Demonstrated experience managing multiple stakeholder projects independently, from start to finish
Preferred:
- Prior MIT Facilities experience
- Experience with administrative systems, preferably Atlas, B2P, SAP
HYBRID SCHEDULE:
On campus 4-5 days per week, as needed
